How to use Lock Access Groups in the Axessor Apexx Software?

Step 1: Define the Region

Create a Region that contains all lock systems and users.

Region includes:

• 2 Lock Systems

• 2 Users

• Multiple Lock Access Groups

Create a Region that contains all lock systems, users, and access groups.

The Region includes:

• 5 Lock Systems

• 12 Users

• 6 Lock Access Groups

Step 2: Add Lock Systems to the Region

Add each physical location as a Lock System.

• Lock System: 123 Main Street

  • Main Safe (Lock #1)

  • Secondary Safe (Lock #2)

• Lock System: 456 Second Street

  • Main Safe (Lock #1)

  • Secondary Safe (Lock #2)

Add each physical location as a Lock System. Each Lock System contains two locks: a Main Safe and a Secondary Safe.

• 123 Main Street

  • Main Safe (Lock #1)

  • Secondary Safe (Lock #2)

• 456 Second Street

  • Main Safe (Lock #1)

  • Secondary Safe (Lock #2)

• 789 Third Street

Step 3: Create Lock Access Groups

Create Lock Access Groups to define which locks can be accessed.

• Lock Access Group: Full Access

  Includes all locks in both lock systems:

  • 123 Main Street: Main Safe and Secondary Safe

  • 456 Second Street: Main Safe and Secondary Safe

• Lock Access Group: Secondary Safe (Main Street)

  Includes only:

  • 123 Main Street: Secondary Safe (Lock #2)

Create Lock Access Groups to define access rules for users.

• Full Access (East)

  Includes all locks at:

  • 123 Main Street

  • 456 Second Street

• Secondary Safe (Main Street)

  Includes:

  • 123 Main Street – Secondary Safe only

• Secondary Safe (Second Street)

  Includes:

  • 456 Second Street – Secondary Safe only

• Full Access (West)

  Includes all locks at:

  • 750 West Street

• Secondary Safe (Third Street)

  Includes:

  • 789 Third Street – Secondary Safe only

• Secondary Safe (Fourth Street)

  Includes:

  • 214 Fourth Street – Secondary Safe only

Step 4: Create Users

Add users to the Region and assign their roles.

• User: Jane Doe

  • Role: Administrator

  • Lock Group: X

• User: John Smith

  • Role: User

  • Lock Group: X

Add users to the Region and define their organizational roles.

• Users include:

  • East Managers

  • Main Street Employees

  • Second Street Employees

  • West Managers

  • Third Street Employees

  • Fourth Street Employees

• Total users in this Region: 12

Step 5: Assign Lock Access Groups to Users

Assign one or more Lock Access Groups to each user.

• Jane Doe is assigned the Full Access group.

• John Smith is assigned the Secondary Safe (Main Street) group.

Assign one or more Lock Access Groups to each user based on their role and location.

• East Managers

  • Assigned to Full Access (East)

• Main Street Employees

  • Assigned to Secondary Safe (Main Street)

• Second Street Employees

  • Assigned to Secondary Safe (Second Street)

• West Managers

  • Assigned to Full Access (West)

• Third Street Employees

  • Assigned to Secondary Safe (Third Street)

• Fourth Street Employees

  • Assigned to Secondary Safe (Fourth Street)

Step 6: Determine Effective Access

The system calculates user access based on assigned Lock Access Groups.

• Jane Doe

  Can access:

  • All locks at 123 Main Street

  • All locks at 456 Second Street

• John Smith

  Can access:

  • Secondary Safe (Lock #2) at 123 Main Street only

The system calculates access automatically based on assigned Lock Access Groups.

• Managers receive access to all locks defined in their Full Access group.

• Employees receive access only to the Secondary Safe assigned to their specific location.

• No user receives access to locks outside their assigned Lock Access Groups.

Step 7: Key Administrative Benefits

This configuration allows administrators to:

• Group users by organizational role

• Reuse Lock Access Groups across multiple users

• Control access centrally without assigning locks individually

• Quickly modify access by updating a single Lock Access Group
